GENERAL GUIDELINES IN WRITING
The following are some basic guidelines in writing. Note, however that everyone has their own style and to lay down rules would destroy their individuality. Nonetheless, the following points will help you develop some style in your writing and also to get right emphasis at certain points of your letter.
A. STATE YOUR POINT EARLY
The main statement should come at the beginning of the sentence. Avoid making your reader wait for the main clause or the point of the sentence.
Waiting is very dangerous as readers may lose the thread and be unable to identify the meaning correctly.
B. EXPRESS YOURSELF PRECISELY
As much as possible use expressions that are short and precise, do not stretch
them out.
Like for instance, instead of saying; “in recent times”, “for that reason”,
“this moment in time”, “would seem to imply”; use the following: “recently”,
“because”, “now”, “implies” respectively.
C. AVOID HUMOR
It is true that having a little humor is good. However, that is not true at all times
specially in making a business letter . Most often, using ironic or humorous statements
in a letter is not advisable as this are always misunderstood by the reader. Not to
mention, that giving out ironic or humorous statements needs the human voice or
facial expressions to really imply that such was the intention of the statements.
D. MAKE IT NATURAL
It is very important to try writing according to your natural thought process. It is
like saying that you write like you are talking. However make sure that you have a
clear mind and that your mode of thinking is very spontaneous. Though, it pays to
note the important points you want to communicate in order not to miss them.
